To organize media support for an event dedicated to Japanese-Ukrainian cooperation in the field of reproductive health. Develop design and layouts of printed materials.
Stages of implementation
Media invitation: before the event, we talked to the client and collected as much information as possible about the project. Since the project was implemented in four regions of Ukraine, we decided to invite not only national but also regional media.
The agency prepared separate announcements for regional media with an emphasis on the project's activities in their region. The invitations were sent to the target regions, further explaining the importance of this topic to the editors. The organizers provided transfer and accommodation, and we kept in touch with the journalists.
The communications team also prepared a separate announcement to invite national media.
Design: the agency helped to develop the layouts of printed materials used during the event. These included a large brand wall, a roll-up, an information brochure, a project map, cards for feedback and suggestions, and phrase bubbles.
Challenges: The day before the event, a forum on an almost identical topic, with a similar title and even the same presenter, was to take place. The forum was additionally announced on the website of the Ministry of Health. So there was a risk that journalists would not come.
How we managed it: we analyzed the differences between our event and the similar one. We realized that we had a wide representation of regions, so we focused on specific examples and doctors' experience in the announcements. We invited regional media who were interested in telling about the project's work in their region. For the national media, we focused on relevant statistics, doctors' experience, and stories of helping women during the war.
At the event: we accredited the media, helped them with information and the appropriate speakers. We coordinated the work at the location.
After the event: we wrote news articles, sent them out and offered them to national and regional media. For regional editors, we localized information with an accent on the project's work in their region.
We prepared a detailed report with media coverage for the client.
UK comms communications specialists managed to engage both regional and national media. During the event, a national telethon was broadcast live. In total, the event was attended by representatives of 10 media outlets, and the client was impressed by such strong media support.
We received 15 mentions of the project in the media, with a potential reach of over a million. The media coverage allowed even more people to learn about the importance of supporting and preserving reproductive health.
